This position is responsible for providing leadership, direction, and technical specialist expertise in the planning, scheduling, and optimization of maintenance activities through the Pronto Computerized Maintenance Management System (CMMS).

The role acts as the site authority on Pronto CMMS, ensuring that all maintenance planning, execution, and reporting functions are effectively integrated within the system. The role involves coordinating with the Mechanical Superintendent, Maintenance teams, and IT to develop, expand, and fully utilize Pronto’s capabilities for improved maintenance performance, reliability, and cost control.

Key Performance Areas:

Pronto System Management:

  • Act as the Pronto CMMS subject matter expert (SME) for the site, responsible for the configuration, administration, and continuous improvement of the system.
  • Develop and implement maintenance strategies, PM schedules, and work management processes within Pronto.
  • Ensure all assets, maintenance tasks, and spare parts are correctly structured and linked in the system hierarchy.
  • Lead initiatives to expand Pronto’s functionality across modules (Work Management, Preventive Maintenance, Inventory, Procurement, and Costing).
  • Create and maintain custom reports, dashboards, and KPIs to track maintenance performance, costs, and compliance.
  • Conduct regular audits of data integrity and maintenance history within Pronto to ensure accuracy and completeness.
  • Drive workflow automation and process integration to enhance efficiency between Maintenance, Operations, and Supply Chain functions.

Maintenance Planning and Scheduling:

  • Develop, review, and optimize short-, medium-, and long-term maintenance schedules using Pronto CMMS.
  • Plan and schedule preventive, corrective, and project maintenance activities to minimize downtime and optimize resource utilization.
  • Ensure work orders, job plans, and resource requirements are well-defined, costed, and aligned with operational priorities.
  • Audit planning for major jobs, ensuring correct part ordering, material availability, and crew assignment prior to execution.
  • Prepare and manage shutdown and preservation schedules, ensuring alignment with operational and safety requirements.
  • Collaborate with the Mechanical Superintendent and Supply Chain team to ensure spare parts and consumables are available when required.
  • Analyse maintenance plans upon introduction of new equipment and adjust workload and resources accordingly.

Maintenance Program Management:

  • Ensure preventive maintenance compliance in accordance with manufacturer and industry standards.
  • Review and revise maintenance strategies to address safety, reliability, and criticality priorities.
  • Conduct regular compliance audits, variance analyses, and performance reviews using CMMS data.
  • Maintain ownership of the maintenance history database and ensure it reflects accurate maintenance activity records.
  • Provide detailed monthly planning and performance reports to the Maintenance Superintendent.

Budgeting:

  • Support the development and management of the annual maintenance budget, including accurate cost allocation and forecasting through Pronto.

Health, Safety, and Quality:

  • Ensure all maintenance plans and work orders incorporate HSE and quality standards.
  • Provide safety oversight during execution of maintenance programs.
  • Investigate accidents, incidents, and near-misses related to maintenance activities and ensure corrective actions are implemented.
  • Support the Health and Safety Department in training and awareness initiatives to reduce risks and maintain compliance.

Leadership and Development:

  • Coach and mentor planners and technicians to improve their maintenance planning discipline and CMMS capability and data management.
  • Foster a culture of accuracy, ownership, and continuous improvement in maintenance data and systems.
  • Lead system-based improvement projects to enhance reliability, availability, and maintainability through CMMS-driven insights.

Technical Competencies:

  • Well experienced in reliability centred maintenance programs with proven expertise in Pronto CMMS administration and system optimization (mining or heavy industrial environment preferred).
  • In-depth knowledge of maintenance management principles, asset lifecycle management, and work management processes.
  • Pronto CMMS module configuration, workflow setup, and integration with finance and procurement systems.
  • Working knowledge of equipment, materials, software and tools used in the industry.
  • Knowledge of relevant codes, standards, and regulations.
  • Maintenance Budget preparation.

Qualification & Experience:

  • Mechanical Engineering Diploma / Degree or equivalent.
  • Minimum 10 years’ experience in the maintenance planning field.
  • Experience with Pronto CMMS module configuration, workflow setup, and integration with finance and procurement systems.
  • Pronto certification or equivalent proven experience in Pronto CMMS system is essential.
