About the Team

GRC’s operational and administrative teams are central to the organisation’s success. Together, these functions — including Human Resources, Finance, IT, Security, Communications, Logistics, and Administration — ensure that GRC’s programmes and partnerships run efficiently and effectively.

These teams strengthen internal capacity, streamline processes, and deliver the essential services needed to support GRC’s expanding global footprint, funding streams, and workforce.

The Role

GRC is seeking a Personal & Administration Assistant to provide direct administrative and organisational support to the President of Global Rights Compliance.

This is a dynamic role requiring a highly professional, organised, and discreet individual capable of managing multiple priorities in a fast-paced, international environment. The position involves exposure to confidential information and close coordination with senior leadership across various time zones.

Key Responsibilities

The Personal & Administration Assistant will:

  • Provide comprehensive administrative support to the GRC President, including calendar management, scheduling of online and in-person meetings, and coordination of travel logistics.
  • Coordinate with the Logistics & Administration Officer to book travel, transport, and accommodation, and to prepare detailed itineraries.
  • Monitor key deadlines and deliverables related to the President’s commitments, ensuring timely reminders and follow-ups.
  • Assist in email management, flagging important correspondence and responding to routine inquiries where appropriate.
  • Manage time zone coordination when scheduling international meetings and engagements.
  • Support the coordination of leadership and cross-departmental meetings, including preparing agendas, taking detailed minutes, tracking actions, and ensuring timely follow-up.
  • Attend selected meetings on behalf of the President, take notes, and prepare summaries or action lists for distribution.
  • Assist with document preparation, including reports, presentations, correspondence, and briefing materials.
  • Maintain and improve digital filing systems and administrative processes to ensure efficiency and accessibility.
  • Liaise with members of the leadership team and project leads to gather updates, follow up on tasks, and coordinate scheduling.
  • Uphold absolute discretion and confidentiality when handling sensitive organisational and personal information.
  • Perform other related tasks as assigned directly by the GRC President.

Candidate Profile

The ideal candidate will be a proactive, detail-oriented professional who thrives in a fast-moving, mission-driven environment. They will combine excellent organisational skills with strong communication and interpersonal abilities.

Essential Qualifications and Experience

  • Minimum 2.5 years of experience in a Personal Assistant (PA)Executive Assistant, or administrative support role.
  • Proven ability to manage complex calendars, coordinate logistics, and handle confidential information with discretion.
  • Strong time managementplanning, and multitasking skills, with the ability to remain adaptable amid changing priorities and travel schedules.
  • Excellent written and verbal communication skills in English.
  • Advanced proficiency in Microsoft OfficeGoogle Workspace, and MS Teams.
  • Demonstrated ability to work independently and collaboratively as part of a remote, international team.
  • High level of professionalismintegrity, and attention to detail.
  • A proactive, “can-do” attitude and willingness to take initiative.
