Summary

Job Purpose:

Reporting to Specialist: PR and Communications, the position will be responsible for supporting the organisation’s external and internal communication efforts. They will orchestrate events, to enhance ODC’s corporate image, build and maintain positive relationships with media, customers, investors and other key stakeholders. Further, they will be responsible for promoting transparency, fostering a positive public perception, and driving successful communication strategies within the dynamic context of the diamond sales industry.

Description

The Job:

The incumbent will be responsible for, among others, the following:

  • Providing day-to-day administrative assistance to the PR & Communications team, including diary management, meeting coordination, minute-taking, and general correspondence.
  • Processing purchase requisitions, invoices, and payment documentation for departmental activities.
  • Tracking and monitor departmental budgets, ensuring cost-effective use of resources.
  • Facilitating impactful media relations by maintaining relationships with key media contacts, generating positive media coverage, and ensuring timely responses to media queries.
  • Assisting in drafting, editing, and formatting internal and external communications such as newsletters, press releases, memos, and social media content.
  • Maintaining a well-organized filing and archiving system for communication materials, media coverage, and event documentation.
  • Supporting the planning and coordination of corporate events, exhibitions, CSR initiatives, and internal staff engagements.
  • Supporting the crisis management plan by coordinating activities, implementing communication protocols, and maintaining crisis management strategies to mitigate potential impacts on the organisation’s reputation.
  • Ensuring efficient communication with stakeholders by facilitating open channels, gathering and analysing feedback, and addressing concerns to improve stakeholder satisfaction.
  • Assisting with the design and preparation of event collateral, including invitations, programs, and digital content.
  • Managing guest lists, RSVPs, and on-site coordination during events.
  • Adhering to regulatory standards, reducing risk by complying with process controls, and promoting ethical practices to build trust with stakeholders.
  • Participating in safety programs, applying SHEQ standards, and promoting awareness and knowledge of safety protocols to ensure a safe workplace.
  • Exemplifying ODC values and supporting a high-performance culture.

Minimum Requirements

The Person:

The ideal candidate will possess the following:

  • Bachelor’s Degree in Public Relations, Communications, Journalism or Marketing.
  • Minimum of four (4) years’ experience in a public relations and communications environment.
  • Certifications in Public Relations, Communications are advantageous.
  • Strong knowledge of website design and Content Management System (CMS).
  • Proficiency in graphic design tools (e.g. Adobe Creative Suite, or similar) with an eye for layout and visual storytelling.
  • Basic videography, photography, and photo-editing skills.
  • Proficiency in Microsoft Office Suite, especially Microsoft SharePoint (intranet management).
  • Familiarity with social media management tools.
